What is a wedding budget calculator?
A wedding budget calculator helps you plan your wedding money in a few minutes. You tell it how much you can spend and how many guests you will have. It then shows where the money should go, what each guest costs you and if your plan fits.
Some people call this a wedding cost calculator, a wedding price calculator or a wedding cost estimator. The idea is the same. You want to know the full price of your day before you book anyone. This free wedding calculator also adds a savings plan, a graph and a download, so you can keep your plan or send it to family.
How to calculate your wedding budget
You do not need to be good with numbers. Follow these steps and your wedding budget will be clear.
Step 1: Set your total budget
Add up what you have saved and what you will save before the date. If parents or family are helping, add that too. This is your total. Do not guess too high. It is easier to add extras later than to cut things after you have booked.
Step 2: Count your guests
Guest count is the biggest lever you have. Every guest needs a meal, a drink, a seat and often a favor. A longer guest list means a bigger venue as well. If you are not sure, write a first list and a smaller list, and run the calculator for both.
Step 3: Split the money
Next, decide how much each part of the day gets. Our wedding budget estimator gives you a fair starting split. You can change it to match what matters to you, and the table below shows the balanced version.
Step 4: Add a buffer
Prices go up. Dresses need fixing. Someone adds a plus one. A buffer of 5% to 10% keeps a small surprise from becoming a big problem.
Step 5: Check the cost per guest
Divide your total cost by your guest count. This number helps you compare quotes. If one venue costs much more per guest than another, you will see it right away.
How to determine a budget for a wedding
If you do not know your number yet, work backward. Start with the date. Count the months until then. Look at how much you can put aside each month and add your savings so far. Our savings plan does this math. It tells you how much you still need to save each month, and if you are short, how much more you need to add.
Talk about money early with your partner and with anyone who is helping to pay. Write down who pays for what. It saves a lot of stress later.
Wedding cost estimator: where the money usually goes
Every wedding is different, but most of the money goes to the same places. This is the balanced split used by the calculator when you leave the cost boxes empty. Use it as a starting point for your own wedding price estimate.
| Item | Share of budget |
|---|---|
| Venue | About 17% |
| Catering | About 22% |
| Bar and drinks | About 6% |
| Cake and desserts | About 2% |
| Photographer | About 10% |
| Videographer | About 4% |
| Flowers | About 7% |
| Decor and rentals | About 5% |
| DJ or band | About 6% |
| Transportation | About 6% |
| Hotel and stay | About 2% |
| Favors | About 2% |
| Wedding attire | About 3% |
| Hair and makeup | About 2% |
| Invitations | About 2% |
| Wedding planner | About 1% |
| Rehearsal dinner | About 1% |
| Rings and jewelry | About 1% |
| Wedding party gifts | About 1% |
| Other costs | About 2% |
These are rough shares, not rules. If you marry in a small town, your venue may cost much less. If you marry in a big city, it may cost much more. Change the numbers until they fit your plan.
Wedding budget based on guest count
Some costs stay the same no matter how many people come. Your photographer, your dress and your DJ are good examples. Other costs grow with every guest: food, drinks, cake, favors, chairs and invites.
That is why the calculator shows how much each guest adds. If you are over budget, inviting fewer guests is often the fastest fix. Ten fewer guests can save a lot when you add up the meal, the drinks and the favor for each person.
Wedding reception cost calculator: venue, food and music
The reception is where most of the money goes, so it helps to look at it closely.
Wedding venue cost calculator
Ask what the venue price includes. Some places include tables, chairs and cleanup. Others charge for each. Type the full venue price in the venue box, and add rentals in the decor box if they are separate.
Wedding catering cost calculator
Caterers usually quote a price per person. Switch the catering box to "Per guest" and type that price. The calculator multiplies it by your guest count. Remember to ask about service fees and tax, and add them in the tax and tips box.
How is wedding cake cost calculated?
Most bakers charge per slice. Multiply the price per slice by your guest count. A simple cake costs less than one with many tiers or fine sugar work. If you also want a dessert table, add that too. The cake helper in the tool does the math for you.
How to calculate alcohol cost for a wedding
Count how many guests will drink. Multiply by the hours of the party. Multiply again by the drinks each guest will have per hour, and then by the cost of one drink. A common rule is about one drink per guest for each hour. The bar helper in the calculator uses these steps. If you buy your own drinks, remember bartenders, ice, glasses and mixers.
Wedding flower budget calculator
Flowers can cost a little or a lot. Start with the must-haves: your bouquet, the people in your wedding party and the ceremony spot. Then add table flowers. Flowers in season cost less, and fewer large pieces look great and save money. In the balanced split, flowers take about 7% of the budget.
Ways to lower your wedding cost
- Invite fewer people, or cut the plus ones you do not need.
- Pick a weekday or a month outside the busy season.
- Choose a venue that already has tables, chairs and decor.
- Serve a limited bar with beer, wine and one signature drink.
- Use seasonal flowers and reuse ceremony flowers at the reception.
- Ask vendors if they have smaller packages.
- Print fewer paper items and send digital invites.
Common wedding budget mistakes
- Forgetting tax and tips. They can add a lot to the final bill.
- Leaving out a buffer. Something always changes.
- Counting guests late. The final number moves food and drink costs.
- Skipping small things. Favors, rings, gifts and the marriage license add up.
- Not checking the plan often. Come back to the calculator each time you book someone.
